Nia Phone: an AI receptionist that takes table bookings by phone

Nia Phone is coming to Inntally Reservations. Once we connect your phone line, Nia answers booking calls, checks real availability in your Inntally diary and holds the table. She texts the caller a secure link, and emails it too if they give an email address, so they type their own name and email.

What Nia does in testing today

Nia does

  • Takes new table bookings, checking real availability in your Inntally diary
  • Follows your weekly opening hours, last booking time, the days you close each week and your largest party size
  • Understands Irish ways of saying times, like "half seven"
  • Notes a special request the caller mentions, like a birthday, a high chair or wheelchair access (one short note per booking)
  • Answers simple questions from your settings: address, phone number, opening and booking hours
  • Sends the caller a secure link to type their own details, and to save a card on Stripe's secure page if you ask for one

Not yet

  • Change or cancel an existing booking (a caller asking to change one may be offered a new booking instead, so watch for duplicates)
  • Put a caller through to your staff, or take a message
  • Answer questions about your menu, prices or allergens
  • Charge a deposit on a phone booking (a card can be saved; nothing is charged)
  • Check one-off closure dates or your online booking rules
  • Recognise callers from caller ID
  • Reliably text the link to every Irish mobile (texts are not always arriving yet, so Nia also offers to email it)
  • Take more than your monthly booking allowance (100 a month unless we agree more); after that, callers are asked to ring back
  • Answer when our voice server is off (the call ends without a message)
  • Speak languages other than English

When Nia hands a call off (a large party, a caller who asks for a person, or a call she can't follow), she reads out a direct number for your team if we have added one to your line. Otherwise she asks the caller to ring back. Allergy notes come from speech recognition, so always check allergies with the guest.

    Nia waits on the line for up to 90 seconds (4 minutes once the link is opened). If you do not ask for a card, your team confirms the booking.

Nia books into the same diary your team uses.

Nia checks the same live diary and table availability your staff use, so there is nothing to sync and nothing to retype.

If the mobile number the caller gives is already on a guest profile, the booking is linked to that profile.

Callers can trust it

  • Nia's greeting says she is an automated assistant
  • Card numbers are never taken by voice; cards are saved on Stripe's secure page
  • Calls are kept as written transcripts, not audio
  • Saved transcripts can be opened only by managers, owners, admins and Inntally support, and each opening is logged

What is an AI phone receptionist?

It is software that answers your phone and handles common calls for you. Nia Phone, coming soon to Inntally, is built to answer booking calls for restaurants, pubs and hotel dining rooms. Once we connect a venue's line, it checks real availability in the Inntally diary, holds the table and sends the caller a secure link to type their own details.

Is Nia Phone available now?

Not yet. Nia Phone is in early access: it works on our test line, but it is not yet connected to venues' own phone numbers. We will connect early-access venues one at a time, and agree answering hours with each one before we switch it on.

Will callers know they are talking to an AI?

Nia's greeting tells callers she is an automated assistant. A caller who talks over the greeting may not hear that line, so we are moving it to the very start before launch. Since 2 August 2026, the EU AI Act requires AI that talks to people to make clear it is AI.

Do bookings go straight into my diary?

Yes. Nia checks real availability and adds the booking to your Inntally diary as a pending phone booking, under the name Guest until the caller sends their details on the secure link. If you do not ask for a card, your team confirms the booking in the diary. If the guest never opens a link Nia has sent, she leaves a note on the booking so your team can follow up.

Can Nia take a deposit?

Not yet. Nia never takes card numbers over the phone. If you ask for a card to secure bookings, the caller saves a card on Stripe's secure page from the link Nia sends. Nothing is charged on phone bookings yet, and your Stripe account must be connected to Inntally.

What can Nia not do yet?

Nia cannot yet change or cancel an existing booking, put a caller through to your staff, take a message, answer questions about your menu, prices or allergens, check one-off closure dates, or recognise callers from caller ID. When Nia hands a call off, she reads out a direct number for your team if we have added one to your line; otherwise she asks the caller to ring back.

Does Nia understand Irish callers?

Nia understands Irish ways of saying times, such as "half seven" or "quarter past eight". If the line is bad, the caller can tap the party size and their mobile number on the keypad. Nia speaks English, with a choice of Irish-accented voices.

Are calls recorded?

Calls are not kept as audio, but every call is transcribed and the text is stored, with no automatic deletion yet. Phone numbers are partly hidden. Emails are partly hidden when written out, but an email spelled out on the call can be stored in full, and everything else, including any allergies or access needs mentioned, is kept as said. Saved transcripts can be opened only by managers, owners, admins and Inntally support, and each opening is logged. While a call is live, staff with Reservations access can see the caller's last few words on the Nia Phone screen. Tell callers about this in your privacy notice.

How many calls can Nia take at once?

By default, up to two calls at once for your venue, and up to six at once across all Inntally venues, which share one voice server. If Nia is full, she asks the caller to try again in a few minutes.

When does Nia answer?

We agree Nia's answering hours with you before we connect your line. If our voice server is off, a call to Nia ends without a message and nothing passes it to your staff yet, so keep your own line covered.

What does it cost?

We will share Nia Phone pricing with early-access venues before we connect their line. Nia Phone is not part of the free platform trial while it is in early access.
