Order Notes · Inntally POS

Order Notes: take the table's order by voice or by tap

Staff tap, type or say the order at the table, with notes like "no onions" or an allergy request. Inntally drafts the order lines, staff check them with the guests, and the order goes to the till as a normal POS order.

  • Tap, type or say it
  • Staff tick it off before sending
  • Notes print on the kitchen docket
  • Inntally does not keep the conversation

Example screen.

The problem

Notes get lost between the table and the kitchen.

The order is right at the table. Somewhere on the way to the kitchen, a note goes missing.

Scribbled pads

A rushed note on a paper pad is hard to read at the till, and "no garlic" turns into nothing.

Typed in twice

The order is written at the table and typed again at the till. In the rush, the notes are the first thing skipped.

Requests reworded

By the time it reaches the kitchen, the guest's own words about an allergy have been shortened or changed.

Two ways to take the order

Tap it, type it or say it. Staff confirm before it is sent.

Tap or search

Type an item name or its till code (PLU) and tap the match, or browse your menu. No AI is used for this, and it works with voice switched off.

Say it, or write it as a sentence

Tell the guests you are using Order Notes and tap Start listening, or type a sentence like "2 Diavola, one without garlic". Inntally drafts the lines with the item, quantity and notes, plus seat and course when they are said. Anything it cannot match is left for staff to fix.

How it works

From the table to the kitchen docket.

  1. 1

    Open the table

Tap the Agent button (the microphone) on the table in Table Management, and enter your staff PIN if your venue uses one.

  2. 2

    Tap, type or say it

Take the order the way that suits the table.

  3. 3

    Check it together

Fix any line, tick off any question and tick that you checked the order with the guests.

  4. 4

    Send to the till

It lands on the table's bill. Send it to the kitchen as usual and the notes print on the docket.

What you get

What staff can do at the table.

A note on every item

Add a preparation or allergy note to any line. Managers can save note suggestions, like "Sauce on the side", for staff to tap.

Seat and course

Each line can carry a seat and course number, and both print on the kitchen docket.

Questions before it is sent

When Order Notes spots something unclear, staff must tick it off before the order can go. For things like glass or bottle, staff choose the item.

Lands on the table's bill

The order goes to the table's bill on the till you choose. If that table already has your open bill, the items are added to it.

Every till updates live

As soon as an order is sent, the other tills and the Table Management screen update on their own.

Your menu, from a photo

Upload a photo or PDF of your printed menu. Names that match a POS item exactly are linked for you to check, and you link the rest. Prices are never imported.

Allergies

Your team stays in charge of every allergy request.

Order Notes is built to copy the guest's allergy words into the note, not reword them, and it never says a dish is safe. Speech recognition can mishear, so staff read every allergy note back to the guest. Nothing is sent until staff tick that they checked the order.

Order Notes does not give guests the written allergen information the law requires. In Ireland, that stays with your menu, your allergen records and your staff training.

Source: Food Safety Authority of Ireland, allergen information for non-prepacked food.

Checks built in

  • Built to copy allergy words into the note, not reword them; staff read them back to the guest
  • Flagged questions must be ticked off before sending
  • Staff tick that they checked the order before it is sent
  • With staff PINs on (the default), each order is recorded against the person who sent it
Where notes show up

Booking notes and order notes, each in the right place.

Notes taken with the order

Tapped, typed or said at the table with Order Notes, or added on the till.

  • On the table's bill at the till
  • Printed on the kitchen docket when the order is sent to the kitchen
  • On the kitchen screen next to the item

Notes taken with the booking

Special requests from an online booking or the diary.

  • In the table's Details panel on the Table Management screen, and on the floor plan
  • Not shown in the order pad, so open Details before taking the order
  • Add anything the kitchen needs as an order note
Privacy

Inntally does not keep the conversation.

Order Notes only listens when a member of staff taps Start, and the screen reminds them to tell the guests first. Speech, and typed sentences that need drafting, are sent to OpenAI, a third-party AI provider, to turn them into draft order lines. Picking items from the menu uses no AI.

What was heard is never saved on our servers, and Inntally does not save the audio. Draft lines are deleted when the order is sent or discarded. The order your team sends is kept on the POS with its notes, and if the table has a seated booking, it is linked to that guest's profile.

You decide

  • Staff tap Start and Stop; it never listens on its own
  • Voice can be switched off, leaving tapping and typing
  • A staff PIN can be required, so every order has a name on it
  • Inntally does not save the audio

Questions

Order Notes questions, answered.

What is Order Notes?

Order Notes is an order pad on the Inntally POS. At the table, staff tap, type or say the guests' order, including notes like "no onions" or an allergy request. Inntally drafts the order lines, staff check them with the guests, and the order goes to the till as a normal POS order.

Does it listen to my tables all the time?

No. A member of staff taps Start listening and Stop listening, and the screen reminds them to tell the guests first. It also stops when the screen is hidden. Voice can be switched off completely, leaving tapping and typing.

Does the order go straight to the kitchen?

No. The order lands on the table's bill on the till. Staff send it to the kitchen with the normal POS controls, and the item notes then print on the kitchen docket and show on the kitchen screen.

Is it safe for allergies?

It does not decide what is safe. Order Notes is built to copy the guest's allergy words into the note, not reword them, and staff must tick that they checked the order before it is sent. Speech recognition can mishear, so read allergy notes back to the guest. The written allergen information Irish law requires stays with your menu, allergen records and staff training.

Can staff type instead of speaking?

Yes. Staff can type an item name or its till code (PLU) and tap the match, or browse the menu. No AI is used for that, and it works whether or not voice is switched on.

Is the conversation recorded?

Inntally does not save the audio. While listening is on, short clips are sent to OpenAI, a third-party AI provider, to be turned into text. What was heard is not saved on our servers, and draft lines are deleted when the order is sent or discarded.

Do notes from the booking show up?

A booking's special requests show in the table's Details panel on the Table Management screen and on the floor plan. The order pad does not show them, so open Details before taking the order, and add anything the kitchen needs as an order note.

What do I need to use it?

Inntally POS with a till open for the shift, and an Order Notes menu linked to your POS items. Voice needs a browser with microphone access. Order Notes is not included on every Inntally plan, so contact us to check yours and switch it on.
